SQMC Privacy Policy

SQMC respects your privacy and is committed to protecting your personal information. This Privacy Policy explains what data we collect, why we collect it, how we use it, and what your rights are. It applies to all interactions with SQMC, whether via our website, telephone, email, training platforms, or otherwise.

1. Who We Are

We are the Scottish Quality Management Centre (SQMC Ltd), a UK-based provider of QHSE training and consultancy. 

2. What Data We Collect

We may collect:

  • Your name, job title, email, phone number, and company name

  • Course registration details and training history

  • Feedback forms and survey responses

  • Website usage data (via cookies)

We do not collect sensitive personal information unless you voluntarily provide it (e.g. dietary or accessibility needs for training events).

3. How We Use Your Data

We use your data to:

  • Deliver training and consultancy services

  • Send joining instructions and certificates

  • Respond to enquiries

  • Improve our services through feedback

  • Maintain training records for accredited courses

We don’t send marketing emails without your permission, and we never sell your data.

4. Legal Basis for Processing

We process data under the lawful basis of legitimate interests, contract, or consent, depending on the situation.

5. Sharing Your Data

We may share your data with:

  • Online learning platforms or tutors delivering a course;

  • Our secure, cloud-based systems (for admin and storage);

  • Accrediting bodies where required by the course (see below).

Special Requirement for CQI & IRCA-Certified Courses, only:

For CQI & IRCA-accredited training courses (such as our ISO 9001 Lead Auditor course), we are required to collect and share specific personal data with the Chartered Quality Institute (CQI) and their authorised partners, including exam providers. This may include your name, contact email, course information, exam results, and, where applicable, a photo ID and proctoring data.

You will be asked to review and accept the CQI’s Learner Privacy Notice before your course begins. This notice explains in full how your personal data will be used and stored by CQI and their service providers.

We don’t share data with anyone else unless legally obliged to.

6. How We Store & Protect Your Data

Your data is stored securely in password-protected systems. Access is limited to authorised staff and tutors. We regularly review our data protection practices and do not keep data longer than necessary.

7. Your Rights

You have the right to:

  • Access the personal data we hold about you;

  • Request corrections or deletions;

  • Withdraw consent where it applies;

  • Lodge a complaint with the ICO (www.ico.org.uk) if you believe your rights are being infringed.

To exercise these rights, please speak to SQMC management.

8. Cookies & Website Tracking

Our website uses basic cookies to:

  • Help the site function properly;

  • Collect anonymous usage statistics (e.g. Google Analytics).

We do not use cookies to collect personal data without your consent.

When you first visit our site, you’ll be given the option to manage your cookie preferences. You can also disable cookies via your browser settings at any time.
